Terms & Conditions
These Terms & Conditions (“Terms”) govern all travel consulting, itinerary planning, and tour services provided by Dejene Ethiopia Tours (“Company”, “we”, “us”, “our”) to you (“Client”, “Traveler”). By booking any consulting session or travel service with us, you agree to these Terms.
1. Definitions
- “Booking” – Confirmation of a consulting session, itinerary planning service, or travel package.
- “Consulting Services” – Travel strategy, itinerary planning, and advisory services purchased by the Client.
- “Trip Planning / Travel Services” – Full travel services including accommodations, transportation, guides, and scheduled activities, regardless of trip duration.
- “Supplier” – Third-party providers used to deliver travel arrangements (hotels, transport, guides).
2. Application & Acceptance
These Terms apply to all bookings with Dejene Ethiopia Tours. By booking and paying for a service, you acknowledge that you have read, understood, and accept these Terms. Any modifications must be agreed in writing.
3. Booking & Payment
Consulting Services
- Fees: $200 / $300 / $500 depending on package.
- Payment is required to confirm the session.
- Consulting fee is non-refundable, but credited toward a full travel package if booked later.
Trip Planning / Travel Services
- Deposit & Full Payment:
- A deposit of 50% of the total travel cost is required to confirm the booking.
- Full payment must be received 30 days prior to departure (or as otherwise agreed).
- A deposit of 50% of the total travel cost is required to confirm the booking.
- Late Payment: Missed deadlines may result in cancellation, and deposits may be forfeited.
- Pricing: Prices are in USD and subject to change due to Supplier rates, currency fluctuations, or government taxes.
4. Survey & Information
You must provide accurate personal, travel, health, and logistical information in the Travel Survey. Incomplete or inaccurate information may affect service quality and availability.
5. Deliverables Consulting
- Personalized travel assessment
- Suggested itinerary draft
- Travel strategy / planning roadmap with cost estimate
- Multi-session consultation (30–60 minutes per session depending on package)
Trip Planning / Travel Services
- Complete itinerary planning and bookings
- Accommodation, transport, guide coordination
- Local experiences, cultural and adventure activities
- Pre-trip support, in-trip assistance, and emergency contact
6. Cancellation & Refund Policy
Consulting Services
- Non-refundable. If you book a full travel package later, the consulting fee is credited toward your total.
Trip Planning / Travel Services
- Cancellation by Client:
- 60+ days prior: Deposit refundable minus $100 processing fee
- 30–59 days prior: 50% of total cost non-refundable
- Less than 30 days: 100% of total cost non-refundable
- 60+ days prior: Deposit refundable minus $100 processing fee
- Cancellation by Company:
- Full refund if the Company cancels the travel for any reason (force majeure excepted).
- Full refund if the Company cancels the travel for any reason (force majeure excepted).
- Refund Process: Refunds processed within 14 days of cancellation confirmation.
7. Changes to Bookings
Requests to change dates, travel preferences, or booked services must be submitted in writing. Availability cannot be guaranteed, and additional charges may apply.
8. Third-Party Suppliers
We act as an agent for Suppliers. The Company is not responsible for acts, failures, or omissions of Suppliers (hotels, transport, guides, activities).
9. Travel Insurance
All clients must obtain comprehensive travel insurance covering medical emergencies, trip cancellation, lost luggage, and personal liability. Proof may be required prior to departure.
10. Client Responsibilities
- Provide accurate information and required documents (passport, visa, health info)
- Comply with local laws and customs
- Behave responsibly and respect other travelers
- Follow safety guidance from Company or Suppliers
11. Acceptance of Risks
Travel involves risks including illness, accidents, political unrest, weather, or Supplier failures. You acknowledge these risks and release the Company from liability except as required by law.
12. Force Majeure
The Company is not responsible for delays, cancellations, or disruptions due to events beyond our control, including natural disasters, political unrest, strikes, airline changes, or government restrictions.
13. Liability Limitations
Except where prohibited by law, the Company’s liability is limited to the total amount paid for the booking. The Company is not liable for indirect, special, incidental, or consequential damages.
14. Privacy & Data
Personal data will be used for service delivery, booking coordination, and communications. Data will not be shared beyond what is necessary for trip fulfillment, except as required by law.
15. Governing Law
These Terms are governed by the laws of Ethiopia. Disputes will be resolved in the courts of Addis Ababa, Ethiopia.
16. Early Bird & Limited Availability
- Consulting sessions: limited to 10 per week.
- Early-bird bonus: first 10 bookings each month receive exclusive benefits.
- Travel packages: bookings accepted on a first-come, first-served basis; Company reserves the right to refuse service for overbooking.
Acknowledgment
By booking consulting or full travel services, you confirm you have read, understood, and agree to these Terms and Conditions.
